HVAC Quote Software for One to Five Person Shops

Write a signable quote in the driveway, turn it into an invoice when the job is done, and export the month to QuickBooks Online. That is all it does.$29 a month, month to month, and you cancel it yourself in one click.

Every other tool in this business is field service management software. Forty features, a twelve month contract, a price per technician, and a salesperson who calls you. You use three of the forty. This is those three, sold by the month.

First month refundable in full, for any reason. Cancel yourself in one click. The duct sizing charts are free and need no account at all.

Three things, in the order you actually do them

1. Quote it before you pull out of the driveway

Pick the customer, add the lines, put in your own prices. It adds up the total, puts your company name and logo on top, and gives you a PDF you can text to the homeowner before you have left the street. Nothing is preloaded with someone else's idea of what a condenser costs, because your prices are yours.

2. Invoice it when the job is done

The quote becomes the invoice. You are not retyping the same fourteen lines into a second piece of software. Change what changed, mark what was added, send it.

3. Hand your bookkeeper one file at the end of the month

Export a CSV that QuickBooks Online imports. One file, one direction. We never connect to your QuickBooks account and we never write anything into it, so nothing on our end can put your books out of balance.

Each of those three has its own page with the detail:estimating, invoicing, andthe QuickBooks export. If what you are really after is something to keep the books, read this first, because this is not that.

What it will not do, on purpose

This list is as much the product as the feature list is. Each line is here because a contractor wrote a review about what happened when software did it to them.

  • No dispatching, scheduling, or GPS tracking. That is a different product and other people do it well.
  • We never message your customers. No review requests, no marketing blasts, no texts you did not write yourself.
  • We never touch your phone numbers. They are not ours to hold, so we do not hold them.
  • No two-way QuickBooks sync. Export only. A sync that breaks can rewrite a year of your books.
  • We do not collect your money. We make the invoice. Getting paid stays between you and your customer.

That fourth one is not hypothetical. A contractor describing what a sync did to his books:

the system was showing hundreds of thousands of dollars overdue in payments over the past year

A file you import cannot do that, because you look at it first and nothing writes itself into your accounts.

If you need a crew board, a dispatch map, and a customer database, this is the wrong tool and you should not buy it.

Eight things we put in writing

Every one of these exists because a contractor wrote a one-star review about the opposite happening to them. Three of those reviews, word for word:

Tried to cancel the contract due to issues and were told no that we would have to pay out the remaining of the contract.

I canceled the subscription twice, but the system kept issuing new invoices and charging a different card, even though the original subscription should have already been deactivated.

business is too slow for us to afford the software any longer. We are trying to cancel and explain this to them, but we were unable to cancel.

We are not naming the companies. The point is not that one vendor is bad, it is that this is what the standard contract in this category does to a small shop when the work slows down. So:

  • No annual contract. Month to month, always.
  • No surprise renewals. We email before an annual plan renews, and unused months are always refundable.
  • No sales calls. Ever.
  • No per technician pricing.
  • Cancel in one click, from your account page.
  • Export everything, any time, in one click.
  • Your files stay yours if you stop paying.
  • We never touch your phone numbers or message your customers.

Price

$29 a month. One plan. Unlimited quotes and invoices, your own logo and letterhead, PDF export, QuickBooks Online export. $290 a year if you would rather pay once, which is two months off and is refundable for the months you have not used.

The tradeoff you should know about before you buy

Your quotes and invoices are stored in your own browser, on the device you made them on. That is what makes it possible for us to promise your files stay yours when you stop paying, because we never had them in the first place.

It also means that if you switch computers or wipe your browser, they are gone. There is a one-click button that exports everything to a file, and you should use it now and then. We would rather tell you this on the pricing page than have you find out in six months.

Questions people ask before they buy

Is there a contract or a minimum term?

No. It is month to month, and it does not auto renew into an annual term. You can cancel from your account page in one click, without emailing anyone, calling anyone, or giving a reason.

What happens to my quotes and invoices if I stop paying?

You keep them. Your quotes and invoices live in your own browser, not on our server, so they are still there and the export button still works after your subscription ends. You just cannot create new ones until you start paying again.

Does this work with QuickBooks?

It exports a CSV that QuickBooks Online imports. It is a one-way export, not a live sync, on purpose. A sync that goes wrong can rewrite months of your books, and a file you import cannot.

Do you charge more for each technician I add?

No. It is $29 a month for the shop, whether that is you alone or you and four other people. There are no seats to count and no bill that goes up when you hire someone.

Can I use it on my phone in the field?

That is the screen it is being designed for. Text large enough to read in direct sun without zooming, buttons large enough to hit with gloves on, one thing per screen instead of a form with forty boxes. It runs in the browser you already have, so there is no app to install, nothing to update, and nothing that stops working when your phone updates itself.

Does it do dispatching, scheduling, or GPS tracking?

No, and it never will. If you need a crew board and a map, ServiceTitan and Jobber do that well and this is not that. This does three things: quote, invoice, and export.
