The estimate that gets accepted is the one that arrives first

Not the prettiest one and not the most detailed one. The one that lands while they still remember you standing in their basement explaining what was wrong. Three days later they have two other numbers and yours is just a price on a page.

So the whole design target is: from finished looking at the equipment to sent, in the truck, in a few minutes, without a laptop.

What that means in practice

  • Text you can read in the sun. Nothing on the screen is smaller than 17 pixels, and nothing important is light grey.
  • Buttons you can hit with gloves on. Every tap target is at least 44 by 44 pixels with real space between them.
  • One thing per screen. Customer, then lines, then totals. Not one page with forty fields.
  • No app. It runs in the browser you already have. Nothing to install, nothing to update, nothing that breaks when the phone updates itself.

It does not come with prices, and that is on purpose

You enter your own numbers for equipment, labour, and materials.There is no built in price book and there is not going to be one.

A preloaded price book is wrong for your market on the day it ships. Your supplier pricing is not the national average, your labour rate is not a table in someone else's software, and the markup that works in your county is not the one that works three states over.

More to the point: you have to be able to defend the number to a homeowner standing in front of you. A price that came out of software you cannot explain is a price you will discount the moment they push back.

Signing

The PDF has a signature block on it. Print it, or send it and let them sign it in whatever PDF app is already on their phone. There is no portal for the customer to log into and no account for them to create, because asking a homeowner to make an account to accept a quote is how you lose the quote.

Then it becomes the invoice

When the job is done, the estimate turns into the bill. Same line items, same customer, same logo. Change what changed, add what was added, send it. That side is covered on the invoicing page.

Estimating questions

Can I write an HVAC estimate on my phone?

That is the case it is built for. Large text you can read in direct sun, buttons you can hit with gloves on, and one thing per screen instead of a form with forty boxes. It runs in the browser, so there is no app to install and nothing to update.

Does it come with HVAC prices built in?

No, and that is deliberate. You enter your own prices for equipment, labour, and materials. Preloaded price books are wrong for your market the day you install them, and a quote you cannot defend to a homeowner is worse than no software at all.

Can the homeowner sign the estimate?

The PDF has a signature block on it, so it can be signed on paper or in any PDF app the customer already has. There is no signature capture flow inside the tool and no portal the customer has to log into.

What happens to the estimate after they accept it?

It becomes the invoice. You are not retyping the same line items into a second piece of software. Change what changed on the job, add what was added, and send it.
