HVAC Software Compatible With QuickBooks
It exports a CSV that QuickBooks Online imports. That is the whole integration, and it is one way on purpose. There is no connected account, no token we hold, and nothing running in the background that could write into your books while you are not looking.
What "compatible" means here, exactly
That word gets used to mean six different things in this category, so here is the specific version:
- Format: CSV, laid out for the QuickBooks Online invoice import.
- Direction: out of here, into QuickBooks. Never the other way.
- Trigger: you click export, you import the file. Nothing is scheduled.
- Connection: none. We never see your QuickBooks account.
- Edition: QuickBooks Online. Not Desktop, for the reason below.
Online, not Desktop, and why
QuickBooks Desktop imports the old IIF format. QuickBooks Online does not support IIF at all, and never has: it was built around CSV imports and a web API instead. Two formats, no overlap.
So we picked the one nearly every small shop is actually on and did that one properly, rather than doing both badly. If you are still on Desktop, this will not save you the retyping, and you should know that before you pay.
The 100 invoice limit
QuickBooks Online caps its native CSV invoice import at 100 invoices per file. For a one-to-five person shop that is comfortably a month of work, so in practice you will not hit it. But it is a real ceiling and we would rather write it on the page than have you discover it in January.
Why one direction only
Every contractor who has been burned by this describes the same thing: the sync ran, something did not match, and nobody noticed for months.

A live connection can do that on its own schedule. A file cannot. You export it, you look at it, you import it, and if something is wrong you find out with the file open in front of you instead of at tax time.
Two way sync is on the permanent no list, alongside dispatching and messaging your customers. It is not a feature we have not got to yet.

QuickBooks questions
Does this integrate with QuickBooks Online?
It exports a CSV file that QuickBooks Online imports through its own invoice import tool. It is not a connected integration: there is no OAuth handshake, no API connection, and nothing running in the background. You export a file and you import it.
Does it work with QuickBooks Desktop?
Not directly. QuickBooks Desktop uses the IIF format and QuickBooks Online does not support IIF at all, so we picked one and did it properly. Almost every one-to-five person shop is on QuickBooks Online. If you are on Desktop, this will not save you the retyping.
How many invoices can I import at once?
QuickBooks Online caps its native CSV invoice import at 100 invoices per file. For a one-to-five person shop that is comfortably a month of work, but it is a real limit and worth knowing before you plan around it.
Why not a two-way sync?
Because a sync that goes wrong rewrites months of your books quietly, and you find out at tax time. A file you import is something you look at before it lands. This is a deliberate limitation, not a missing feature, and it is not on the roadmap.
Will it change anything in my QuickBooks file?
Nothing, unless you import the file yourself. We never connect to your QuickBooks account, never hold a token for it, and never write to it. There is no background job on our side that could touch it.
